Creating a Check-In Report

Document the property condition at the start of a tenancy.

What this does

A check-in report records the condition of every room and item in a property when a tenant moves in. It serves as the baseline for the deposit return assessment.

When to use it

Create a check-in report on or before the day the tenant receives the keys.

Step by step

  1. Go to Inspect in the main menu
  2. Click + New Report
  3. Select the Property and Report Type: Check-In
  4. Choose a template or start from scratch
  5. For each room:
    • Record the Condition of each item (Excellent, Good, Fair, Poor)
    • Add Notes describing any existing damage or wear
    • Take Photos of each item and room
  6. Add overall property notes (meter readings, key count, etc.)
  7. Click Save

Tips

  • Be thorough — the check-in report protects both landlord and tenant
  • Take clear, well-lit photos of every room from multiple angles
  • Note any pre-existing damage in detail
  • Templates speed up the process by pre-filling room and item lists
