Creating a Check-Out Report

Document the property condition at the end of a tenancy.

What this does

A check-out report records the property condition when a tenant moves out. It's compared against the check-in report to identify any damage or changes.

When to use it

Create a check-out report on the day the tenant returns the keys.

Step by step

  1. Go to Inspect in the main menu
  2. Click + New Report
  3. Select the Property and Report Type: Check-Out
  4. The system loads the check-in report as a reference
  5. For each room:
    • Update the Condition of each item
    • Add Notes describing any changes since check-in
    • Take Photos from the same angles as check-in
  6. Add overall notes (meter readings, keys returned, etc.)
  7. Click Save

Tips

  • Use the check-in report as your guide to inspect every item
  • Take photos from the same position as the check-in photos for easy comparison
  • Note fair wear and tear separately from damage
  • The report highlights items where condition has deteriorated
