Sharing Reports with Landlords and Tenants

What this does

Sharing sends a PDF version of the inventory report to landlords and tenants by email. Recipients can review and agree to the reported conditions.

When to use it

Share check-in reports at the start of a tenancy so both parties have a record. Share check-out reports for deposit assessment purposes.

Step by step

  1. Open a completed inventory report
  2. Click Share
  3. Select recipients:
    • Tenant — the tenant's email from the tenancy record
    • Landlord — the landlord's email from the property record
    • Custom — enter any other email address
  4. Add an optional message
  5. Click Send
  6. Recipients receive a PDF of the report by email

Tips

  • Shared reports include all photos, conditions, and notes
  • Ask tenants to confirm agreement with the check-in report within 7 days
  • Keep a record of when reports were shared for dispute resolution
  • PDFs are generated with your company branding
