Handling Maintenance Requests

Log, track, and resolve maintenance requests from tenants.

What this does

Maintenance requests track repair and maintenance issues reported by tenants, from initial report through to resolution.

When to use it

Create a maintenance request when a tenant reports a problem with their property.

Step by step

  1. Go to Maintenance in the main menu
  2. Click + New Request
  3. Fill in:
    • Property — which property has the issue
    • Tenant — who reported it
    • Category — Plumbing, Electrical, Structural, etc.
    • Priority — Low, Medium, High, Emergency
    • Description — details of the issue
  4. Upload any photos the tenant has provided
  5. Click Save

Managing requests

  1. Assign a contractor to the request
  2. Update the Status:
    • Reported — just logged
    • Assigned — contractor allocated
    • In Progress — work underway
    • Completed — issue resolved
  3. Record the Cost once work is done
  4. Close the request

Tips

  • Emergency requests are highlighted for immediate attention
  • Landlords can be notified automatically when requests are logged
  • Maintenance costs appear on the property's financial summary
