What this does
Tenancy management tracks the lifecycle of rental agreements from application through to checkout, using a kanban pipeline.
When to use it
Create a tenancy when a tenant has been approved for a property.
Step by step
- Go to Tenancies in the main menu
- Click + New Tenancy
- Fill in the required fields:
- Property — select the property
- Tenant — select or create the tenant contact
- Start Date — tenancy start date
- Rent — monthly rent amount
- Auto-filled fields (can be overridden):
- End Date — defaults to 12 months from start
- Deposit — defaults to 2 times the monthly rent
- Landlord — auto-filled from the property record
- Click Save
Tenancy pipeline stages
Drag tenancies between columns on the kanban board:
- Application — tenant has applied
- Referencing — checks in progress
- Approved — tenant approved, contracts being prepared
- Active — tenant has moved in
- Notice — notice served, ending soon
- Ended — tenancy complete
Tips
- Tenancies link the property, tenant, and landlord together
- Overdue rent is highlighted on the tenancy record
- Use maintenance requests to track repair issues during the tenancy
