What this does
Deactivates an account so it no longer appears when categorising transactions or creating journals. The account and all its historical data are kept for your records and reports — nothing is deleted.
When to use it
Deactivate an account when you no longer need it for day-to-day bookkeeping. For example, if you close a bank account or stop using a particular expense category.
Step by step
- Go to Chart of Accounts from the main navigation
- Find the account you want to deactivate
- Click the account row to open it
- Click Deactivate (or the delete icon)
- Confirm when prompted
- The account will be greyed out in your chart of accounts
- It will no longer appear as an option when categorising transactions or creating journal entries
- To see deactivated accounts, use the filter to show inactive accounts
Note: System accounts (such as Trade Debtors, Trade Creditors, and VAT Control) cannot be deactivated. These are required for core accounting functions. If you try to deactivate a system account, you will see an error message explaining why.
